TELEPHONE CONFERENCE BOARD MEETING

Executive Director - Rev. Tom Moyer, Secretary - Pam Rudick, Rev.
David Baumgarn, Trey Fisk, Adam Gless, David Kamin, Donine Fink,
Lisa Holmes.
Board Members Absent: Ellen Griffin, Rev. Dan Smith

Chairman, Ed Allen called the meeting to order at 8pm CT
Opening Devotions were lead by Rev. Tom Moyer.
ASSISTANT TO THE EXECUTIVE DIRECTOR
The Assistant to the Executive Director
He shall serve at the direction of the Executive Director according to
his talents and gifts.
He shall pray and plan with the Executive Director to
develop and implement a plan of action to expand the ministry of OAFC.
SUMMER TRAINING
He shall meet with the leaders of the host congregation
and local coordinators for the National Summer Training early in the
year. He shall work closely with the coordinators to see that housing,
meals, and transportation are adequate and that care facilities, team
rooms, and survey areas are lined up for each team. He will also work
with the publicity coordinator to see that publicity material is sent to
the hosting congregations and encourage media coverage be provided for
the National Summer Training.
He shall oversee registration. He shall be responsible
for several pages in the Summer Training Manual.
SUMMER TRAVEL TEAMS
He shall plan Travel Team stops, contacting possible
host congregations early in the year, sending them information and
publicity material and confirming each stop. The target date for
confirmation of all stops should be mid June.
THE OAFC CRIER
He shall provide one article for each issue of the Crier and oversee
production.
THE NATIONAL WEB SITE
He shall oversee the National Web site to make sure that material is
current and correcting any doctrinal, grammatical, and spelling errors.
He shall reply to inquiries over the web, bringing to
the Executive
Director's attention those which require his attention.
COMMUNICATION
He shall be responsible for two informative letters to the Lead
Directors each year.
He shall be responsible for the adult orientation
session at Summer Training.
He shall assist the Executive Director in arranging for
OAFC representation at conferences, conventions, and colleges to promote
an awareness of the OAFC ministry.
He shall submit a quarterly report of his activities to
the Executive Director which will be shared with the Board at their
regularly scheduled meetings.
SPECIAL PROJECTS
He shall work on special projects as directed by the Executive
Director.
Some upcoming projects are:

Updating the Directors Manual and Appendix

Producing a short video to introduce the ministry of
OAFC to congregations, youth groups and circuit conferences.

Organizing and Planning a Leadership Retreat

Qualifications of Assistant to Executive Director
Position
1. Attended a minimum of 3 Summer Training's. This is needed to insure
that the applicant can make a smooth transition and keep the same
"feel" to a well structured ST schedule.
2. Computer skills - Applicant should be proficient in
word processing, communicating, and filing using a computer. Knowledge
of Internet resources is also valuable.
3. LCMS Christian - No explanation needed.
4. Willingness to relocate if needed by OAFC.
5. Good phone skills - The applicant will be spending a
lot of time on the phone setting up ST and TT stops. Good telephone
skills will go a long way in helping this process along.
6. Good follow through skills - The applicant should
already be good at returning messages, following through on tasks,
completing tasks on time, and meeting deadlines. Lack of these skills
can give the ministry of OAFC a bad reputation because this person is
often the main contact between OAFC and the church.
7. Good organizational skills - Putting together ST and
TT is a very big task and poor organizational skills will only make the
job much bigger and more difficult.
8. Recommended that the person have led a TT -
Having this experience will be very helpful with setting up TT stops. In
addition, describing TT to potential host churches will be much easier,
and he will be able to give the church a better idea of what to expect
and how to prepare for their TT. Several churches misunderstand what the
goal and ministry of TT is.
9. Flexibility and willingness to change and adapt -
Working with people is never an exact science and having an ability to
be flexible and deal well with stress is very important. The applicant
should be cool under pressure.

The motion was made by Pam to accept the Job
Description, Qualifications and Theological Questions as submitted to
the Board, It will be sent to all Candidates for the position of
the Assistant to the Executive Director with a cover letter. Adam
Seconded. Motion carried. Pastor Moyer will compile this
information and send out to candidates Information in the cover
letter will be salary range of $12,000-$15,000 without medical at this
time, relocation is not a requirement in the immediate future, and the
position is on a part-time basis.
Adam made the motion to have the Job Description,
Qualifications and Theological Questions be sent out to all candidates
and received at the OAFC Office by October 1, 2000. Lisa Seconded.
Motion Carried.
JANUARY BOARD MEETING
Pastor Moyer made the motion that the January Board Meeting will be held
at Salem In Homewood if they are still willing to host. January
12-14 will be the first choice and January 19-21 will be the
second choice. Pam will find out if the church is available to
host the meeting.
CD PRODUCTION
Recording Copyrights are not based on selling price. Rather, it is a
flat fee: currently $ .075 / per song / per recording (in our case,
about $ 5.00 / per one full set).
Therefore, there's no need to set a price at this point,
but we do need to request a certain number of copyrights (i.e. how many
CD-sets we want to produce). Most companies will want us to pay up
front, others might allow yearly payments based on sales. (Tim suggests
the up front payment so that record keeping is avoided). With the
company He's been referred to, (from their 1999 catalog) this is one of
the breakdowns:
order of 300 / $5.85 each
order of 500 / $3.88 each
order of 1000 / $ 2.14 each
Pastor Moyer made the motion we produce 1000 CD sets.
Adam seconded. Motion carried.
Ed Steele's letter was brought to the Boards attention.
It was decided to table this discussion and to address it at the Fall
Meeting.
The motion was made and seconded to adjourn the meeting.
Motion carried.
Meeting closed with prayer and adjourned at 9:05ct.
